FOR GYMS & FITNESS STUDIOS

The email marketing plan for gyms and studios

From the January rush to the quiet of August, Mailer Moose helps you fill classes, win back lapsed members and keep your schedule in everyone's inbox, not just the chalkboard by the front desk.

  • Priced in Canadian dollars, month to month

  • Your own sending domain, set up for you

  • Every address checked before you send

Hey coach, let's fill that 6 a.m. class.

SOUND FAMILIAR?

Your members go quiet. Your calendar doesn't have to.

Between swapped class times, cancelled memberships and that January rush, email usually happens between sets, if it happens at all. Here's where most studios lose people.

The January rush fades out by March

Every January your front desk is slammed with new sign-ups chasing a fresh start. By March, half of them haven't been back in two weeks and nobody's said a word to them.

A simple nudge, sent while they're still proud of signing up, keeps that resolution crowd on the mat long after the treadmills empty out.

Schedule changes land in a text chain, not an inbox

A sub teaches Tuesday spin, the 7 a.m. HIIT class moves to 7:15, and half your regulars find out at the door. One email to the right people reaches everyone before they lace up.

Trial passes go cold after one visit

Someone tries a Saturday class, loves it, and never hears from you again. Without a follow-up, a great first visit is just a nice memory, not a membership.

Cancelled memberships just disappear

A member cancels in March and that's the last your studio ever says to them. A well-timed note in September, when resolutions are old news again, brings a few back.

Your 10 a.m. and 2 p.m. classes run half empty

Prime time fills itself. The in-between hours need a reason to show up, and most studios never ask.

One blast goes to everyone, every time

Long-time members get the same email as a three-day trial. Nobody feels like you know them, and your best members tune out first.

CAMPAIGNS THAT WORK FOR YOU

Campaigns built around your calendar, not a generic one

No vague tips here. These are the sends that match how a Canadian gym or studio actually runs its year.

The January reset

Send the second week of December: new class times, a trial pass, a clear date to rebook. Catch the resolution crowd before the big-box gyms do.

Patio season schedule

May through August, promote outdoor bootcamps, earlier classes before the heat, and the reminder that your studio stays air-conditioned when the patio doesn't.

Back-to-school rebook

Early September, when school runs resume and mornings free up again: send the new fall timetable and a welcome-back offer for anyone who went quiet over summer.

The trial follow-up

A short sequence after someone's first class: day one says thanks, day three answers questions, day seven offers the next step. No more one-and-done visitors.

The comeback class pass

For anyone who cancelled or hasn't booked in 60 days: one free class, no hard feelings, no awkward phone call needed.

Bring-a-friend week

Pick a slow week, give members a guest pass to share, and let your own people fill the gaps on your schedule.

Black Friday membership deal

Your biggest sign-up week outside January. Send it early, send a reminder the morning it ends, and make the deadline real.

AN EXAMPLE CAMPAIGN

From one line to a finished send, before your coffee's cold

HOW IT CAME TOGETHER

Written from one sentence, in your brand

One studio owner typed a single brief: "Win back members who haven't booked in two months, offer one free class." That's it.

Mailer Moose built the whole email: headline, offer, a clear button, your logo and colours, written in your voice because your brand settings already told it how you talk. The segment pulled itself from your own list, sent from your own domain, every address checked before it went out.

THE FEATURES YOU'LL USE MOST

Built for studios that run on a schedule, not a server

You didn't open a gym to learn software. These are the four features that do the most work for the least fuss.

DESIGN

Write the brief, Murray drafts the email

Tell it what you're promoting, who it's for, and the offer. The platform designs a complete email: hero image, class details, an offer band, proof and your footer, in your brand colours and the way you write.

No blank template, no font-matching, no dragging boxes around at 9 p.m. after close.

  • No design skills needed

  • Matches your logo and colours automatically

  • Ready to send in minutes

GROWING YOUR LIST

Catch sign-ups at the front desk and the trial class

Put a sign-up form on your website for anyone browsing class times at home, or use a landing page if your studio doesn't have a site yet.

Every form matches your brand and is protected against automated sign-ups, so your list fills with real people who actually want to hear about the next bootcamp.

  • One embed for your website

  • A landing page if you don't have a site

  • Protected against automated sign-ups

See sign-up forms

FOLLOW-UP

Know who skipped leg day, and email them separately

From any campaign you've sent, save the people who clicked your trial offer, the people who opened but didn't book, or the ones who didn't open at all.

Resend to the quiet group with a new subject line instead of hoping they scroll back for your first one.

  • Segment by clicks, opens or silence

  • Resend with a new subject line

  • No spreadsheet sorting required

DELIVERABILITY

Your own domain, zero DNS headaches

We register your sending domain, set up its authentication and host it, so every email, link and landing page comes from the same address your members recognize.

That domain earns its sending volume gradually, the way inbox providers expect, which keeps your class reminders out of the spam folder.

  • Zero DNS records for you to set up

  • SPF, DKIM and DMARC handled

  • 99.7% of mail delivered across the network

QUESTIONS

Everything studio owners ask us first

Can I import my membership software's list?

Yes. Bring a spreadsheet export from whatever system runs your front desk, and the importer maps each column to a field for you. If the upload gets interrupted partway through, it picks up again where it stopped.

Will my class schedule emails end up in spam?

Your sending domain is registered, authenticated and hosted for you, and it earns its sending volume gradually the way inbox providers expect. Across the network, 99.7% of mail gets delivered.

Am I locked into a contract?

No. Every plan is month to month, priced in Canadian dollars. Pause it over a slow summer and pick it back up before September's rebook push.

What happens to my existing member list when I switch?

Import it, and every address gets checked with its mail server before your first campaign goes out. Dead mailboxes and anyone who's complained elsewhere on the platform never make it into a send.

Can long-time members and trial visitors get different emails?

Yes. Build a segment for anyone who clicked your trial offer, anyone who hasn't opened in a while, or your long-standing members, and send each group something that actually fits them.

I've never designed an email. Will a class promo look decent?

The drag-and-drop editor and the AI draft handle the layout for you, in your logo and colours. You're approving and tweaking, not building from a blank page.

Is any of this a problem under Canadian email law?

CASL, enforced by the CRTC, asks for consent, clear sender identification and an unsubscribe honoured within 10 business days. A sign-up form or a membership waiver that mentions emails covers consent, and unsubscribes are built into every send.
